Getting Started with Online Calendars

ChurchArt Pro Calendar makes creating and sharing your church's calendar easy. In this article, we'll review six easy steps to create, edit and customize your church calendar. We'll take you through the process — and before you know it, you'll be ready to share your calendar.

Add and edit calendar events

After logging in, click on EDIT CALENDAR. Choose a day to enter an event. Click on the ADD EVENT icon within the calendar date. Fill in the appropriate information, and then click SAVE & CLOSE. Your first calendar event is entered!

To add an image to the calendar event, click the ADD IMAGE icon. Search for an available image, or upload your own. Click SAVE and you've entered an image onto a calendar event for more visual appeal. 

To quickly add an event with just the title and time, click the ADD QUICK EVENT icon. Enter the event title, the time, and then click ADD EVENT to save it to your calendar.

Customize your calendar by adding an image or logo

Make the calendar unique for your church. We make it easy to add your church's logo and address. From the home page, click on the Calendar Options link in the left column and follow the instructions.

  1. Click the + in the box that says Click here or drag and drop to add an image. (Make sure your logo image is in your computer in order to upload it.)
  2. Choose the image to upload from your computer and save. 
  3. Once you've completed your changes on the page, click the SAVE CHANGES button. 

Add Interest Groups

Interest Groups are additional calendars you can add for special groups within your church, such as Youth Group, Women's Prayer Group, Kids Kingdom, Choir, Worship Team, etc. You can add as many groups as you like. Interest Groups allow visitors to the calendar to search or see events applicable to their Interest Groups.  

Interest Groups can be added or edited by clicking on INTEREST GROUPS link on the home page — or the ADD/EDIT INTEREST GROUPS box.   

Once you have added an Interest Group, you can attach it to an event on the Add or Edit an Event screen.

Keep private events private

  The online calendar gives you the option to enter events that are meant only for church staff to view (such as meetings, counseling sessions, and events that don't apply to the entire congregation). These events are password protected and only people with the private events password will be able to view these events.  

To create a private event, click the event to open the Add or Edit an Event page. Check the Private - hide from public view box under Special Options. After the event is saved, it will appear with a padlock beside it on the Edit Calendar page.

The private event settings are located by clicking on the Private Events link in the left column of the home page. Here you will set the link title and password. The events are viewed by going to the Preview Calendar page, clicking on the padlock icon in the upper part of the page, and entering the private events password. As an admin, you control who has the private events password and access to see those events.

Print and share your calendar

You made it to the finish line! It's time to share your calendar. There are several ways of sharing your calendar: printing, emailing a link, hyperlinking, adding a plug-in to your church’s website, and syncing to your member’s online calendars with the iCalendar feed.


Printing is easy and can be done through the printer icon in the upper right corner of the edit calendar and print preview pages. Simply click on the printer icon and then print using your browser’s print commands.  

Need to edit before you print? One of the best things about My Church Events is that it can be exported to Word for editing and printing. Simply click on the download icon in the upper right of the Edit or Preview page, and then click on Export to Word. Once your calendar is in Word, you can adjust margins, font size, resize and print the calendar.


One of the easiest ways to share the calendar is to email a link to your congregation. Click the Share Calendar button on the homepage and share your assigned web address in an email. Members can click the link in the email to access the calendar.

  • Link to your church’s website

You can also add the hyperlink to your website. Click on the Share Calendar button on the home page.  We provide different views: Current Month, Current Week List, Current Day. Choose the link for your preferred view, and then just copy and paste that link into your website.

  •  Event Viewer Plug-in 

Use the Event View Plug-in to feature events from your calendar on your home page. Click on the create your plug-in code snippet link for instructions. You must be logged into your account to access this feature. 

  • iCalendar Feed 

You or your church members can subscribe to the iCalendar feed and sync your church’s calendar with their online calendars.  

Additional Calendar Features

  The online calendar offers many special features to not only display your events but also to help you organize and save time entering events into the calendar. For instance, did you know that you can tag rooms and equipment to events to eliminate conflicts? You can also create feedback forms — the church secretary’s best friend — (What are you bringing to the potluck?). We also offer a recurring events feature that allows you to add custom dates.

Set Your Time Zone

From the home page, click on Calendar Options, update your Time Zone, and then click Save Changes.

Recurring Events

In the Add or Edit an Event page, you can set up calendar events to repeat if you wish.


    There are a few ways to add holidays to your calendar. 

    The best way is to go to the home page and click on Holidays. Manually select the holidays from the library of preset holidays. Simply choose the holidays that you want to display, click on Save, and your calendar is populated with the holidays you chose.

 If you cannot find the holiday you would like on the list you can always add a custom holiday.

To do this, add an all-day event on the date of the holiday. For example, to add Thanksgiving to the calendar, click the add "Event" link on the date of Thanksgiving. Then type "Thanksgiving Day" for the event title and check the All day event box next to the time. Click the Save & Close button and you're finished.

Add a Map for your event

Remember when people used to call church secretaries for directions? Well no more! How user-friendly is this? Click on an event, then click the "Create a Map" link.  


Feedback forms

Feedback forms are awesome! Members can respond to an event with one click. 

Scrolling Events

Showcase upcoming events at the top of your calendar for heightened visibility. You can set an event to be featured on the "Feature This Event" field near the bottom of the ADD OR EDIT EVENT page. You can feature an event in two different ways:

1. You can simply check an event to be featured, and it will always be featured until the event has passed.  

2. You can feature an event for a specific period of time by checking the box to Feature This Event, and then supplying the time period to feature the event. For example, if you would like a Valentine's Dinner to be featured the entire week before Valentine's Day, simply type the dates  2/7/18 and 2/14/18. SPECIAL NOTE: Your featured events will only show in the scroll box at the top of the calendar, and only if you have the scroll box set to display Events marked as Featured Events.

Exporting Calendar Data

You can download the events from the online calendar by clicking Download Calendar Data icon at the top right of the page. The CSV export takes all the events visible on the current view, list or grid, and Month or Week.

For example; if you export the March grid view, it gives you 2/26 through 3/31, which are all the days visible on the March Calendar.
